Change of Business Address Notifications
Announcing your change of business address when you move office can sometimes feel just as draining as unpacking boxes. But having an organized checklist of all the vendors, institutions and individuals you need to notify can significantly reduce the stress and ensure that you communicate your new contact details to everyone who needs to know.
We've created a change of address checklist that identifies all those organizations for you so that nothing (or no-one!) slips through the cracks. Using this list as a guide, you can create a list tailored to your specific needs.
When to Announce your Change of Address
Best practice suggests you should announce your change of address approximately 2 weeks prior to move day. There are several reasons for this:
Firstly, it's only polite to let clients know so that they can be supportive and understanding of any service disruption your business might experience during the move, and secondly utility organizations need advance notice so they can switch your utility supplies over to the new office in time for when you move.
Then, once you've arrived at your new office, you can send out a reminder change of address to be sure that everyone has your correct contact details and no post or phone calls are being missed or going astray.
Don't leave it too late!
Some organizations may need early notice of your change in details. For example, in some states, you have less than a month to notify the Department of Motor Vehicles - if you have company cars registered at your company address.
Review Vendors
Depending on how far you are moving, you may need to find new suppliers closer to your new office. For example, if you use office cleaning vendors, catering companies or company gym memberships - it may become necessary to review these so that you receive better levels of service.
Changing Address Online
Some organizations, in particular utility companies and cell phone companies allow you to update your details online which will save you heaps of time and postage costs. Just make sure you receive written confirmation from them so you are happy your updates have been registered.
Finally, another time-saving tip is to use this Change of Address Letter Template which contains the "bear bones" of a letter that you can send to clients and utility companies, and customize it to your own needs.
