If you have been tasked with organizing your company's office move, you will undoubtedly be aware of the mammoth task ahead of you.
Most companies (particularly SMEs) don't outsource their office relocation project management, and find someone within their organization who is responsible for overseeing the project and making sure that deadlines are met and keeping their Office Relocation Project Team to task.
This handy guide will help you stay one step ahead and ensure that you plan, manage and execute a timely and successful office move for your company.
- Be Clear about your Company's Requirements
A clear understanding of why your company is moving office and their requirements for the new office will help to brief your Tenant Rep Broker on the type and style of office space.
Don't worry about the technical specifics (your Tenant Rep Broker will do that for you) but having a good idea of the location, rough size, facilities and your intended growth plan will ensure you end up in the right property.
- Build the Right Office Move Project Team
An Office Move Manager must have the support from people within your organization who you can delegate tasks to; a rep from IT, Finance, Marketing and HR can all provide the relevant support for the key stages of the move. Meet with them regularly and more frequently in the run up to the move to get updates and check that the move is on target.
- Keep Office Relocation Professionals to Task
Make sure you keep your external advisors on target too. These will include your Tenant Rep Broker, Lawyer, Office Design Consultant, IT & Telecom Solution Provider and your Office Moving Company. It will help to communicate your desired timeframe of events so that everyone is clear about their deadlines and your goals.
- Create & Manage a Realistic Budget
Setting a clear relocation budget at the outset will help to avoid any overspend and enable you to assess and manage your costs throughout the process.
- Write it Down!
As an Office Move Project Manager they'll be a lot to remember, and some days will feel like you're just chasing your tail! Make sure your write things down as you think about them and use the Office Move Checklist to ensure that nothing important gets forgotten or left behind!
