How to Brief your Office Moving Company
Working with your Office Moving Company
The physical part of your office relocation is not an easy task. It hinges on having a well-thought office moving plan and a thoroughly briefed Office Moving Company.
Communicating your objectives, timelines and goals with your moving company will enable you to get the most out of your relocation providers, and ensure the transition over to the new facility is as smooth as possible.
The first thing you need to do before meeting with your office moving company is to be clear, in your own mind, how you want your office moving day to proceed. Your Office Moving Company is an integral part of the move, so it's important to establish with them how they day will go. Consider issues such as packing and whether you want any of this to be done prior to move day to help save time. If you are moving office during the week, consider how much time you will have to unpack and recommission IT equipment before your business can be back up and functioning.
Once you are clear about how you want to proceed, arrange a planning meeting with your Office Moving Company to agree the best course of action. Discuss with them what items of furniture you will be taking with you, and any items of particular value. Access and parking issues need to be discussed (at both locations), and if time and build out permits, you should give your office moving company a tour of the new premises so they can identify any problematic issues relating to elevators, parking and access.
Closer to the time of your move, you will need another space planning meeting with your Design Company and Moving Company so that both parties understand where items are to be placed and where files need to be located etc. Talk this through with your office moving company, don't just hand them the space plan and assume they'll understand it. If they are clear about where everything goes, it will help to minimize disruption and get your business back up and running as soon as possible.
Continuing open communication throughout the office moving process and planning is vital. At the end of the day, your business is in their hands and you will need to feel confident in their ability to execute the move efficiently and have a clear understanding of your objectives.
Use the Office Moving Checklist as a guideline of what needs to be done in the run up to the move day, and help determine what is expected from your moving company.
