How to Write a Plan for Moving Office
Creating a Moving Office Plan
The creation of a Moving Office Plan is a fundamental element for any office move project. Not only will it form the basis of your decision to move office, it will also help you plan for the many tasks involved with an office move project and also establish the details/requirements of your new office space.
The Moving Office Plan should be agreed by all Senior Management within your organization so that before anything is done, your office move has "buy in" from all key people involved.
Your Moving Office Plan should include the following:
Reasons for Moving Office
What are the reasons behind the office move? Is an office move the best option? Can we leave our existing premises in accordance with the office lease (i.e. lease end or break option?)
Establish Key Dates
Termination of existing office lease, required date to be in new office, target date for finding office space, target date for completion of office lease agreement & negotiations, completion date for Office Build-out.
New Office Space Requirements
Establish current & projected staffing levels. Establish required size, facilities, location and cost. Determine the length of office lease required.
Develop Moving Office Budget
Agree realistic budget limitations. Agree business priorities and plan your Budget Planner accordingly.
Communication Plan
Decide how you are going to communicate the office move to staff, who is responsible and the possible implications/repercussions the office move will have on your workforce. Decide how and when you will inform your clients about the office move.
Office Move Professionals
Decide which office move professionals you are going to work with to execute the key stages of your office move. Decide how you are going to brief each of them and whether your brief is clear enough to satisfy your relocation requirements.
