Office Relocation Communication Plan
An office relocation takes extensive planning, particularly if you are relocating lots of staff from one location to another. Even if you are only relocating several employees, your office relocation plans still needs to be communicated properly so that staff know what's going on and feel an important part of the move.
Here are several issues to include when communicating your office relocation to staff:
Timeline of Events
When is the move happening? What disruption can be expected to business in the run up to the moving day? Staff need to know a clear timeline of events so they can plan their workload and re-arrange meetings around the move.
New Office Floor Plan
Send all employees a floor plan of the new location. This will help them to visualise the new space and allow them to familiarize themselves with the layout before they arrive at the new office.
New Office Phone Numbers
If your phone numbers are changing, these need to be communicated to staff so they can, in turn, let clients know where they can get hold of them.
Packing
Employees will need to be allocated their own crate(s) so they can pack their own personal desk items. Make sure they are clearly briefed about packing guidelines (and who is responsible for packing what) so that nothing valuable gets damaged during transit.
Staff Training
If you are purchasing any new telecom or IT equipment for the new office, a full training program needs to be set so that staff are familiar with using the system before you get to the new office. Speak to your IT & Telecom Solution Provider about a training program on how to use the new equipment.
