Moving office is an exciting time for all - and, if done correctly, can be a real morale-booster for all your staff. HR Managers need to be aware of the positive role they can play throughout the course of the moving office process. There are so many positives to promote when moving office and it is important that all companies moving office position the message behind the office move as one full of positives. It's the start of new opportunities, new working practices, new equipment to boost productivity and a whole host of other exciting things that come with a new workplace.
Staff Communication during an Office Move
Getting the communication aspects of an an office move right can reap huge rewards in terms of employee satisfaction. An office move is the ideal opportunity to introduce positive change management, increased morale & momentum and an improvement in business performance. However, you should also be aware that getting the communication wrong (or sending out mixed messages) can have the opposite effect.
You've heard it said many times before that staff are a company's greatest asset - so make sure that your business doesn't just pay lip-service to this truism. Employees are people - and we all like like to feel involved in the big decisions that affect the company we work for. If we feel involved in the moving office process then it's more likely that we will "buy into it" and help to promote positive messages to customers about the office move.
Moving Office - make it a Team Effort
On a purely practical level, when it comes to planning an office move, there's also a lot to do and the more help and input you can get from your employees - the better. Consider having a representative from each department on your Office Relocation Team and hold regular staff meetings to update them on the progress of the office move project. They in turn can update their individual teams so that everyone knows what's going on.
Once you've identified your new office space, it is always a good idea to arrange a company tour to the new space so that all your staff can see the new office and visualize what their new environment will be like. If this proves inpractical then you can always take photos of the new office and then put up floor plans fo your staff to see.
You might also wish to get employees involved in the space planning and office design of the new property. One popular idea is to get staff to submit their ideas for names of meeting rooms. There's a whole number of ways to get your staff involved - and by doing so you will find that your employees will provide valuable input and ideas of things you hadn't even thought about!
