Managing an office move is a big responsibility - and if you have never been involved in an office relocation project before it can, understandably, seem like a daunting task.
This is a practical guide for anyone tasked with managing an office move for the first time. Whilst this is designed to give you the basic steps, we highly recommend using the Office Moves for Dummies Guide which outlines all the steps you need to take to execute a smooth office relocation.
There are 3 basic stages to moving office, before, during and after.
- Before ... will cover all the planning involved prior to your office relocation
- During ... will cover the move day and how to ensure your office move goes like clockwork
- After ... will include tying up those lose ends to ensure you truly maximize your new office and pave the way for a smooth tenancy duration.
BEFORE
Moving office can be extremely stressful and moving office without a clear plan or direction can be EXTREMELY stressful, so it's wise to set aside a few hours each day to do some thorough planning.
The Office Move Checklist will be your roadmap to success and it covers every task that needs to be completed (in logical order). Basically, if it's not listed in this Checklist, you don't need to worry about it!
The planning involved in organizing an office move includes creating a budget and timeline. This is so you keep your spending within limits and ensure that no important deadlines are missed out.
Use the budget and timeline templates available on this site for free. They identify all the costs and deadlines for you, so all you need to do is manage them accordingly.
DURING
The moving day itself can be extremely challenging, but a good Office Moving Company will help keep your head above board and you can rest assured that your items will be moved professionally and unloaded to their correct location.
You will need to have supervision at both locations on moving day to troubleshoot any issues, make refreshments for your moving company and be the spare pair of hands.
AFTER
There are bound to be things that need addressing once you've got your feet under the table. Keep a list of anything that's not quite as you'd like it. Your Office Design Team will carry out a post-move survey where they can address any such issues. Your IT Relocation Company will troubleshoot any technical issues that arise.
You will also need to handover your "old" office back to your landlord and ensure safe return of your security deposit. Make sure it's cleaned and presentable and back to it's original state prior to the inspection.
