What to Tell your Customers when you Move Office
An office move can be a difficult transition in the life of a company. Moving to a new office is a lot of change, which can be disruptive for both your staff and your customers. But with clear and strategic communication, you can "buy-in" their support and build your reputation in doing so. It's always best to inform all clients early on about the move - and speak in person to the more valuable ones.
Explain to them the reasons for the move and emphasize the positive benefits that the new office will bring to the business. This will help to build their confidence in what lies ahead, and in doing so, you will build a stronger relationship with them. As with your employees, professional and clear communication is the key to successfully guiding them through the transition of a new environment. It is important to be timely in your communications with your customers. Even if you are unsure of the exact timings and location of the new office, your customers will appreciate being consulted at an early stage.
How to Notify Key Customers
It is important to speak in person with key accounts. They're the ones you have built a strong relationship with, so they deserve to be notified first. Having a conversation with them is better than sending them a formal Change of Address notification, and this gives you the opportunity to explain the reasons for the transition, and provide them with confidence that this will help grow the business, and help serve their needs more efficiently.
Stay Positive
Whichever way you choose to communicate the move to clients, it's important to stay positive and remain enthusiastic about the move.
Move Day
If you are moving during a working day, your business is bound to suffer a period of downtime whilst your phones and computers are re-commissioned in the new office. If this is case, make sure you give clients access to an email address and phone number(s) where they can get hold of you during this period.
After the Move
When the dust has settled in the new office, why not invite your key accounts to the new facility to showcase the new office, raise a glass and celebrate this new chapter for your business. Use the Change of Address Letter Template as a basis for notifying all your customers about the move. You can customize it with your own personal and positive message about the business relocation.
